Operations Associate
We are looking for an Operations Associate to help support our rapidly-growing energy justice nonprofit. Reporting to the Executive Director, The Operations Associate will support the ED and management team with all operational aspects of the organization including financials, benefits administration, internal systems, and more. The right candidate is passionate about environmental justice and social equity as well as detail-oriented, driven, energetic, efficient, reliable, and highly-organized.
Position Overview:
The Operations Associate will be responsible for ensuring that the organization completes financial, human resources, and compliance tasks on time and will support team-wide systems such as worktools and virtual/ in-person team meetings. Because of the nature of the role, the hours are flexible within business hours (approximately 9am-6pm ET) and there will be an expectation of consistent hours week-to-week. The position is fully remote with occasional travel for team offsite meetings.
Human Resources Support
- Oversee recruitment in partnership with hiring managers, leading to a well-defined and candidate-friendly process that centers equity. Place ads and post jobs in various channels, screen candidates, and coordinate and participate in interviews and assist with new hire onboarding coordination
- Assist with logistics for staff retreats
- Coordinate essential annual events such as annual benefits open enrollment, and coordinate and shepherd the annual performance evaluation cycle
- Process bimonthly payroll and submitting benefits reports or adjustments to benefits providers
Operational Support
- Own all logistical and administrative components across the operational activities of the organization
- Keep current with business registration requirements across our footprint and file all documentation on time; Organize and maintain calendar of filing deadlines
- Schedule and coordinate team meetings, agendas, and presentations
- Manage Solstice’s “office” needs & assist with coordination of a remote team; manage the Google Drive and ensure effective document management across the organization
- Assist ED in reconciliation of organization’s finances on a monthly basis in partnership with external bookkeepers
- Support the Board of Directors with record-keeping and notetaking and coordination of quarterly Board meetings
- Identify and support the implementation of new technology that addresses the needs of our growing virtual team
- Support staff in the maintenance of organizational records in Salesforce and champion consistent data practices throughout the organization
- Maintain positive cultural norms for the organization
- Support team-wide efforts to further diversity, equity and inclusion within the organization and in our work
Requirements
- Strong organizational skills to effectively meet project deadlines

- Superior written communication and the ability to multitask
- Prior experience in operations, administrative, and/or event planning preferred; minimum requirement is demonstrated ability to manage complex logistics
- Maturity to exercise discernment and privacy around confidential information
- A problem solver; equally excited about the opportunity to solve small problems and big problems as long as they serve a larger mission
- Quick learner with complex topics and technology
- Ability to work independently and be resourceful in a remote setting
- Passionate about climate change and environmental and/or social justice
- Enthusiastic, positive, and team-oriented; always willing to lend a hand to a team member
